Terms of Service

By accessing the tuition services, you agree to the following terms and conditions. Please read prior to payment.

  • Fees & Payments: For standard weekly groups, all payments must be made by the 1st of the month for tuition in the upcoming calendar month. For summer courses, payment for the whole course must be made prior to the course commencing. If no payment has been made ahead of the date and time of the scheduled session/course, the Tutor may decide that no tuition will take place and the student may not join the session. A fee of one session will be incurred on completion of any ‘initial Assessment/Getting to Know You’ session. This fee is applicable regardless of whether further services are booked. All payments must be made upfront before any sessions via electronic bank transfer. Existing clients have priority to rebook for each month/half term.
  • Obligations: Obligations exist for each party involved in the tuition and both Tutor and Client shall always comply with their respective obligations under the Data Protection Laws.
    • Clients: Will not send the student to a session if the student is unwell and will provide the necessary information required for completion of the Student Information Form (including emergency contacts, medical or SEND information). Should any tuition take place with your child at your place of residence, a suitable workspace should be provided that has minimal distractions and a responsible adult should also be present during the tutoring.
    • Students: Conduct and behaviour will be of an acceptable standard whilst tutoring occurs and students will endeavour to try their best.
    • Tutor: I will hold an up-to-date enhanced DBS and safeguarding training and provide feedback on a regular basis (as a minimum half termly).
  • Cancellation Policy: As a small business, there will be no refunds given in the case of illness or missed sessions such as holidays, as the student’s place will be reserved, and the group session will still run. For any 1-2-1 sessions, dependent on the circumstances and suitable notice, credit may be given toward the next month’s tuition services. Any sessions cancelled by the Tutor for any reason, will be rescheduled where possible, or deducted from your next invoice.
  • Lateness: Sessions will start promptly at the agreed time. Should students join late, the lost time will not be made up and the session will finish at the usual time.
  • Notice of Termination: Both parties must give at least 4 weeks’ notice of termination. If the notice period concludes before the end of the month, the Client may not be refunded for the remaining sessions of that month/half term.
  • Safeguarding: The Tutor may take photos of the session, but only with the permission of Clients. The Tutor will never contact the student outside of sessions and the student must not make contact either. If the Tutor has any safeguarding concerns, any relevant agencies will be notified. The Tutor has an enhanced DBS certificate.
  • Approval: Acceptance of the services will be taken to represent agreement to these Terms & Conditions.

GDPR Policy

The General Data Protection Regulations (GDPR) came into force on 25th May 2018 and requires that all businesses issue a privacy statement to all clients and contacts, regarding the data held about the individual. Samantha Green is the ‘controller’ of your data.

What information is held

The information I hold, comes from you as the parent/client and your child as the student;

  • Name
  • Age and School Year Group
  • Details of regular sessions booked
  • Phone numbers
  • Email addresses
  • Current School
  • Emergency contact details
  • Anything else the parent feels is important for tuition e.g. special educational needs, medical conditions, etc.
  • I also hold information about students’ education including tracking progress, objectives, and lesson plans

 

I only hold the data needed to provide the services you engage me to provide. Contact information is used for scheduling, invoicing, record keeping and communicating my own services. Data will not be shared unless there is a legal obligation to do so. All reasonable steps are taken to ensure your data is processed and stored securely. This information is usually stored as paper copies in a secured cabinet and any files are stored on my password protected computer. Names and email addresses are also stored in my email contacts on my password protected computer and phone numbers are also stored on my pass code protected mobile phone.
